We're hiring a Project Manager & Bookkeeper
Our online advertising agency based in Winkler, Manitoba is growing and we're preparing for even faster growth in 2018.
Right now, we are a team of 4 people: 2 full-time and 2 part-time. We also work with some sub-contractors from time to time.

We thought about what our agency really needs right now and it’s 3 roles that could be filled by one full-time person. So the 2 part-time positions are being replaced by this 1 full time position.
Here are the 3 roles in order of what we need most to least:
1. Project Manager
  • Record, organize and prioritize all of the tasks that everyone in our agency needs to do

  • Contribute, but also actively listen to identify projects, tasks, & calendar events that come from meetings, Skype & conference calls with clients, monitoring the work & personal email of George Krahn (the owner of this agency) and our company email, our company calendar and George's personal calendar, George's Reminders app, and anything else that might trigger projects, tasks, or calendar events

  • Record all of the calendar events in our Google & iCloud calendars and record all projects & tasks in Podio, our online project & tasks management system; you would spend a lot of time in Podio

  • Update our weekly customer metrics spreadsheet before each weekly internal meeting

  • Take lower value tasks off everyone’s workload and doing those tasks for them so that everyone can focus on the highest value tasks that are assigned to them

  • Assign deadlines and hold everyone accountable on tasks assigned to them so that they get done in a timely manner

  • Ensure that everyone has everything they need to accomplish their tasks
2. Customer Service
  • Communicate daily with customers by phone and email to inform them of what we are working on in their accounts, proactively let them know what we plan to work on in the near future, follow up on anything they requested and give brief updates on performance

  • Learn the basics of online advertising and eventually get Google Adwords certified

  • Take care of some simple online ad account maintenance

  • Keep all customers’ credit cards updating in all advertising platforms, contact them when cards need to be updated

  • Reply to certain, less complex emails that come to George's work & personal email and our company email

  • Answer the phone, get information about the caller, and decide whether or not the nature of their call is important enough to warrant interrupting any of us from our task at hand

  • Assign a star rating, tag, and possibly block calls in our call tracking system

  • Greet walk-in traffic and decide whether or not the nature of their visit is important enough to warrant interrupting any of us from our task at hand
3. Bookkeeper
  • Handle all aspects of accounting including accounts payable, accounts receivable, bank reconciliations, payroll, GST & Payroll remittances, preparing weekly customer aged receivables reports, preparing monthly financial reports, preparing for year-end including T4’s, preparing for tax time when we meet with our accountant

  • Send online invoices to most of our customers through our website, Stripe, or PayPal; email PDF invoices to the local customers that we have

  • Add new employees, customers, and vendors into Sage 50, our accounting system

  • Issue online Record of Employment forms for employees who leave our company

  • Transfer money from PayPal to our business bank account; transfer money within our multiple chequing, savings, taxes, and donation bank accounts including business and personal accounts

  • Deposit cheques at Access Credit Union

  • Sort through our business mail

  • Make payments using our business credit card, business bank account, or using cheques occasionally

  • Purchase & pick up office supplies
